CCTV Privacy Notice

In the context of securing our premises and assets, we, as Canon Medical companies, conduct CCTV surveillance at selected locations and processes personal data in doing so. We always handle this process with care and in compliance with the law. In this CCTV Privacy Notice, we describe the data we process from you, how we do it, and the rights you have in this regard.

  1. Purpose of CCTV Usage

We use CCTV systems to record images to assist in the provision of a safe and secure environment for the benefit of those who work at and visit our offices, and for the protection of our property. Monitoring of CCTV systems helps us to:

  • To improve our security and the prevention of crime
  • Employee safety
  • Asset protection
  1. Information We Collect

The CCTV cameras may capture visual images and recordings within the monitored areas of our office building. The recordings will not contain audio. These images and recordings may include:

– Video footage of individuals within the premises, including employees, contractors, and visitors.

– Date and time stamps of when individuals enter or exit the building.

– Visual information related to security incidents or events.

  1. Legal Basis for Processing

Our use of CCTV is based on our legitimate interest in maintaining the security and safety of our premises. We ensure that the impact on individuals’ privacy rights is proportionate and respect their reasonable expectations of privacy.

  1. Data Storage and Retention

CCTV images and recorded materials shall not be retained for any longer period than is required for the stated purpose. Ordinarily footage is only retained for as long as is necessary to fulfil the stated purpose. Recorded material will be deleted securely and promptly once the stated purpose is fulfilled.

  1. Access to CCTV Data

Access to the CCTV recordings and any associated recorded images which contains personal information is restricted to authorized personnel who require this information to fulfill their security-related duties. Any such access will only be given with the approval of the managing director. We maintain strict access controls and implement security measures to prevent unauthorized access, disclosure, or alteration of data.

The recorded materials may only be viewed for the following purposes:

  • The investigation of an alleged crime
  • The investigation of a security incident

All authorized viewings will be documented in a log.

  1. Disclosure of CCTV Data

We do not share the CCTV data with third parties for commercial purposes. However, we may disclose recordings to law enforcement, regulatory authorities, or other relevant parties as required by applicable laws, legal requests, or in response to crime incidents.

  1. CCTV camera locations

CCTV cameras are located at strategic locations throughout our offices to provide coverage of entry and exit points to our office areas. Where required by privacy laws, signage is displayed at appropriate points to alert employees and visitors that CCTV surveillance is in use and to provide information and contact details.

  1. Your Rights

Individuals who are captured by our CCTV systems have the following rights:

– The right to request access to the CCTV data relating to them.

– The right to request rectification or erasure of inaccurate or unlawfully processed CCTV data.

– The right to object to the processing of CCTV data based on legitimate interests.

– The right to lodge a complaint with a supervisory authority if you believe your rights have been violated.

We may update this privacy notice from time to time to reflect changes in our CCTV practices or applicable laws. The most current version of the privacy notice will be posted on our website.
